Below is a practical, no-judgment checklist I use with new business owners in Jacksonville and surrounding areas to get things organized fast.
1) Separate business and personal (today)
Open a dedicated business checking account and use one business card for business-only purchases. Mixing transactions is the #1 reason cleanups take longer (and cost more).
2) Capture every receipt and bill
Pick one place to store receipts (an app, a folder, or email). The goal is consistency. Missing receipts = unclear expenses and weaker documentation.
3) Set up your categories the right way
Your categories should match how you actually run the business (and what you want to track). A clean setup makes reports meaningful—so you can see profit, not just transactions.
4) Reconcile your bank and card accounts
Reconciling is how you confirm your books match the bank. If you skip this step, errors pile up quietly—until they’re painful to untangle.
5) Clean up your income tracking
Make sure deposits are recorded correctly (and not duplicated). If you use Stripe, Square, PayPal, or Wix payments, you’ll want to account for fees and payouts properly.
6) Know what to do with owner draws, mileage, and meals
These are common trouble spots for new businesses. Getting them categorized correctly early prevents messy corrections later.
